Ferncumbe Benefice Administrator
Role Description
Working Hours: 9 hours per week for 45 weeks per year.
Rate of pay: £5,868 per annum (£14.49 per hour)
Holiday: 5 days (pro-rata equivalent of 22 days)
Pension: The organisation will fulfil its obligations under the pensions auto enrolment
legislation.
Reporting to: The Rector or Churchwardens (during a vacancy)
Work location: Remote with occasional in person meetings at Hatton Church
About Ferncumbe Benefice
We are a group of ordinary people who believe that church is a great place to make friends and experience God together. We are a family who believe that church should not only be great fun but also a place where lives are radically transformed.
Ferncumbe Benefice is a group of five churches in the Church of England Coventry Diocese, about 3 miles northwest of Warwick. We have a combined congregation of about 100 people, and a local church school, there are weddings, baptisms and funerals, and all the activities of life lived in Jesus.
Our churches:
Holy Trinity, Hatton is a large family church, set close to Hatton Park and Ferncumbe CofE Primary School.
St Mary’s, Haseley is a rural church, ancient and lit by candles, a place of peace.
St Laurence’s, Rowington is a rural church, a light on a hill, and a loved place in its community.
St John Baptist, Honiley is a rural church, a place for quiet contemplation.
St Luke’s, Lowsonford is a chapel-of-ease.
The Administrator role:
The Administrator will work directly for the Rector, Rev Ann Peachey, and in addition to providing administration, they will support the Benefice by helping to provide a welcoming connection across the churches.
While each of our churches operate independently, they all require coordination on key obligations of safeguarding, record keeping, and policy. In addition, they need to be coordinated for weddings, funerals and baptisms. Today the Rector manages that coordination with input from Wardens and Secretaries.
1. Record Keeping
Keep church records, input and extract data from the record databases in keeping with data protection requirements.
File records and reports as required.
2. Policy
With the approval of the churches agree what the policies should be and who should own them.
Maintain the policies with their owners, and report on their status.
3. Weddings, Funerals, Baptisms
Respond promptly to enquiries about church bookings.
Ensure that all paperwork is collected and filed in an appropriate manner.
Prepare invoices.
Liaise with the Wardens and Secretaries to ensure that bookings are made.
Refer queries and challenging situations to the Rector, Wardens or Secretaries as appropriate.
4. Safeguarding
Keep the Safeguarding Benefice Dashboard up to date, inputting data where appropriate.
Send our reminders for training and DBS checks in collaboration with the Safeguarding Coordinator.
Manage any role descriptions as appropriate.
Update Safeguarding policies and procedures in readiness for PCC meetings.
5. Other duties
Represent the church in handling enquiries and (in the absence of the Rector) dealing with church matters.
Undertake communications where appropriate either printed, by email, website/socials, or parish magazine.
The Administrator, from time to time, will also carry out any reasonable duties at the request of the Rector that are appropriate for the position of Administrator.
The PCCs of Ferncumbe Benefice are committed to safeguarding and promoting the welfare of children, young people and vulnerable adults. All postholders are expected to share this commitment. This role is subject to safer recruiting and will include a DBS check.

This role will be employed by Hatton With Haseley PCC, one of the legal entities of the Benefice.
The PCCs of Ferncumbe Benefice is a group of churches within the Church of England and therefore the role of Administrator will involve sensitively working on behalf of Christians. The post holder will need to have a Christian understanding of what is happening across the churches, that activities are not simply community projects but they have a spiritual dynamic to them. There will be times working in a Church of England parish church, hosting, prayer and worship.
It is therefore an Occupational Requirement (Schedule 9 part 1 of the Equality Act 2010) of this post to have a committed Christian faith and a passion for enabling churches to serve their communities showing Jesus.
Person Specification
Essential
Good interpersonal skills and the confidence to welcome visitors, deal in a friendly and sensitive way with enquiries.
Excellent administrative and organisational skills.
A good knowledge of Microsoft Word, Excel, Powerpoint and Outlook, and ability to pick up web-based applications to administrate the Benefice.
Excellent accuracy/attention to detail
Flexibility to cope with changing demands, manage priorities, using personal initiative and operating with limited supervision.
Willingness to work and be supportive of the Christian ethos and values of Ferncumbe Benefice.
Desirable
Knowledge and experience of church processes.
A flare for design and layout of printed publicity.
